The type of personal information we collect
We currently collect and process the following information:
- Personal identifiers, contacts, and characteristics (for example, name and contact details)
- Financial details to make or receive payment and account for tax where applicable
- Any personal data that you may have chosen to share with us in support of our services, including research (e.g., in the form of questionnaire, evaluation, interview, and survey responses)
- Website usage statistics that are collated by our website service provider WordPress.com, and by Google Analytics.
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you in electronic, verbal or written form for one of the following reasons:
- To contact us via email, phone or post
- To process financial transactions where applicable
- To participate or contribute to research conducted by us or together with research partners
- To prepare for training service and help us tailor the training to your specific needs
- To obtain feedback from you about our services
We also receive personal information indirectly, from the following sources in the following scenarios:
- Google Analytics which tracks our website. This is to help us improve our website
- Automatic, which is the parent company of our webservice provider Woordpress.com. They collect website usage data and use cookies as outlined in our Terms and Conditions governing our website
- Contracted invoicing and payment service providers (e.g. HSBC, Stripe, PayPall, Xero)
- Social media (e.g., LinkedIn) where you have chosen to connect with us or our staff.
We use the information that you have given us in order to:
- To connect with you in writing, on the phone, via email, or via other electronic means (for example: Zoom and Microsoft Teams)
- Deliver our services
- Improve our services
- Take or receive payment.
We may share this information with:
- Our accounting and financial service providers
- Research partners where shared personal data relates to public or private funded research. That data may have been given by you to us “on the record” and can thus be published and made public; it may also have been made “off-the record” and will be treated by us accordingly; you may have offered us that data on an “anonymous” basis, in which case appropriate provisions for research reporting will be applied in line with best research practices.
Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:
- Your consent. You are able to remove your consent at any time. You can do this by contacting your appointed contact person at Trade Facilitation Consulting Ltd, by writing to us or sending us an email
- We have a contractual obligation
- We have a legal obligation, for example towards UK based public authorities, including HM Revenue and Customs
- We have a legitimate interest.
How we store your personal information
Your information is securely stored while with us. This includes the use of following 3rd party services:
- Micorsoft365 and Apple iCloud for secure file storage and emails
- Zoom and Microsoft Teams for communications and training activities, including occasional interactive surveys and activities that rely on the sharing of personal data
- Dropbox and Google for projects where this has been specified by the client
- Payment and accounting processors that include: Xero, Stripe, HSBC and PayPal
Our electronic devices with access to onsite and could-based storage are encrypted.
We normally keep personal data for the duration of our anticipated relationship, and where possible for at least 6 years. This is to make sure that we comply with applicable UK tax and legal requirements.
We might choose to anonymise some personal data and keep such data indefinitely.
Data that has been given us to complete research assignments of a public, private or scientific nature, may also be kept indefinitely, unless otherwise requested at the time of engagement. This is to ensure that research findings can be revisited and analysed at a future point in time in line with standard academic research conventions.
When personal data is scheduled for destruction, data in electronic format is deleted using applicable software. Physical versions of such data are disposed responsibly for which third party specialist may occasionally be used (e.g., for the shredding of paper files).
Your data protection rights
Under data protection law, you have rights including:
Your right of access – You have the right to ask us for copies of your personal information.
Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

How to complain
If you have any concerns about our use of your personal information, you can make a complaint to us by writing to our Director, Dr Andrew Grainger. You can send that complaint to our registered address. Alternatively, you can also contact us via your usual contact with us, or our website’s email contact facility.
